Custom Invoice Layouts: Build Branded GHL Invoices with AI

Custom Invoice Layouts now give you more control over how your invoices look in GoHighLevel. The main update is the new AI-powered Layout Builder. You can tell the AI what you want your invoice to look like, and it will create a starting design for you. You can also upload or describe an invoice you already use and ask AI to recreate the layout.

Once the first design is ready, you can keep making changes with AI prompts or use the visual builder. You can add, remove, move, or line up different parts of the invoice. GHL also creates a restore point after each AI change, so you can go back if you don’t like the result. When your Custom Invoice Layouts are ready, you can publish, preview, download, clone, rename, or organize them from the Layouts area.

You can then choose a published layout when creating an invoice. Once the invoice is sent or partly paid, the layout is locked so the customer keeps the same design. If you later delete that layout, sent invoices will still keep their original look. Draft invoices using the deleted layout will return to the default design instead.

Here are the main steps:

• Access the Settings Area in GoHighLevel.
• Activate AI-Powered Custom Invoice Layouts.
• Open the Invoice Layouts Area.
• Describe the Invoice Layout You Want.
• Choose Your Layout Style.
• Review and Publish Your New Layout.

To start, make sure you are logged in to the correct GoHighLevel sub-account.

• Go to the bottom of the Main Menu on the left-hand sidebar.

1.1 Click the Settings gear icon ⚙️.

• This opens the main Settings area for your sub-account.

• Inside Settings, use the menu on the left-hand side.

2.1 Click Labs.

• This opens the Labs area where you can access new GoHighLevel features.

2.2 Use the search box to find AI-Powered Custom Invoice Layouts.

• You can search for the feature by entering “AI” or its full name.

2.3 Turn on the toggle for AI-Powered Custom Invoice Layouts.

• When the toggle is blue, the feature is active for the sub-account.

2.4 Click Go Back when you are finished.

• This takes you back to the main area of your GoHighLevel sub-account.

• From the Main Menu, click Payments.

3.1 Open the Invoices & Estimates dropdown at the top of the Payments area.

• This menu gives you access to invoices, layouts, recurring invoices, templates, estimates, and other invoice tools.

3.2 Click Layouts.

• This opens the new Invoice layouts area where you can create and manage your Custom Invoice Layouts.

• At the top of the Invoice layouts page, you’ll see the Layout AI prompt box.

4.1 Enter a description of the invoice you want AI to create.

• Be clear about the type of invoice, service, payment details, and information you want included.
• For example, you could ask for a simple website design invoice with customer details, invoice dates, taxes, and the total amount.

4.2 Click the purple arrow button to continue.

• GHL will open the Layout AI Builder and use your prompt to help create the new invoice design.

• The Layout AI panel will ask you a few questions about how you want the invoice to look.

5.1 Choose the visual style that best fits your invoice.

• Available options may include Modern professional, Minimal / clean, Bold / vibrant, Elegant / luxury, Classic / traditional, Playful / friendly, or Custom design.
• Follow the Layout AI questions and select the options that fit your brand and invoice needs.

5.2 Click Build it when you are ready.

• Layout AI will use your answers and original prompt to create the invoice layout.

• Once GHL creates the layout, review the invoice preview on the left side of the builder.

6.1 Check your Custom Invoice Layout.

• Review the logo area, business details, customer information, invoice items, totals, and other sections.
• Make sure the layout is clear and contains the information you need.

6.2 Use the editing panel to make changes.

• Select an element in the invoice to open its settings.
• You can adjust options such as fonts, text size, alignment, colors, spacing, and other design settings.

6.3 Rename your layout.

• Click the edit icon beside New Layout at the top of the page.
• Give the layout a clear name so it is easy to find later.

6.4 Save and click Publish when the layout is ready.

• Publishing makes the finished layout available for use with your invoices.

That’s it. Your first Custom Invoice Layout is now created and ready to use in GoHighLevel. You can return to the Layouts area whenever you need to create another design or manage the layouts you already have.
