What Changed in the Workflow Actions Sidebar
GHL has updated how the Workflow Actions Sidebar handles the Pinned and Recent sections. These shortcuts now check the object type of the workflow you have open before they appear.
That means Contact actions and triggers stay inside Contact workflows. Company-specific options stay inside Company workflows. If you’re building a workflow for a Custom Object, GHL only displays Pinned and Recent options that work with that object.
Previously, those shortcuts could follow you between different workflow types. For example, an action you recently used in a Contact workflow could appear in Recent while you were working inside a Company workflow. You could see the shortcut even though it wasn’t compatible with that workflow.
Your existing pins haven’t been removed. If a pinned action doesn’t apply to the workflow you’re currently building, GHL simply hides it. When you return to a compatible workflow, that pinned option can appear again.
This change only affects the Pinned and Recent areas of the Workflow Actions Sidebar. The full list of available actions and triggers below those sections was already filtering options correctly based on the workflow type, so that part of the Workflow Builder hasn’t changed.

There’s nothing you need to enable or configure. The filtering happens automatically as you move between workflow types. Here are the steps to review and use the updated Workflow Actions Sidebar in GoHighLevel.
- Access Workflows in GoHighLevel.
- Open the Triggers Sidebar in Workflow.
- Review Your Available Shortcuts.
- Select Your Trigger in Workflows.
To start, make sure you are logged in to the correct GoHighLevel sub-account.
Step 01 – Access Workflows in GoHighLevel
- Start by logging in to the GoHighLevel sub-account where you want to build your automation.
1.1 Go to the main menu on the left side of your screen. Click Automation.
- This opens the Automation area where you can access and manage your GHL Workflows.
1.2 Open the Workflows section.
- This is where you’ll find your existing automations and the option to create a new Workflow.
1.3 Create a new Workflow.
- Starting a new Workflow gives you a clean setup for building your workflow from the beginning.
1.4 Click Start from Scratch.
- This opens a blank Workflow so you can add your triggers, RCS actions, and follow-up steps exactly where you need them.

Step 02 – Open the Triggers Sidebar in Workflow
- This is where you can review the Pinned and Recent options that GHL automatically filters for your workflow type.
2.1 Click the option to add a trigger inside the workflow.
- The sidebar will open and display the triggers available for the workflow you’re currently building.
2.2 Look at the Pinned and Recent sections in the Workflow Actions Sidebar.
- GHL automatically checks the workflow’s object type before displaying these shortcuts. You don’t need to change any additional settings.

Step 03 – Review Your Available Shortcuts
- The Pinned and Recent sections now show shortcuts that are compatible with the object type of your current workflow.
3.1 Review the Recent section for actions or triggers you’ve recently used.
- Only compatible shortcuts should now appear. For example, Contact-specific options won’t be shown as Pinned or Recent shortcuts when you’re working inside a Company workflow.

Step 04 – Select Your Trigger in Workflows
- Once you find the trigger you need, you can select it and continue setting up your workflow as normal.
4.1 Choose the compatible action or trigger you want to use.
- GHL only displays compatible shortcuts in Pinned and Recent, helping you avoid selecting a trigger that doesn’t work with the current workflow type.

Remember, your incompatible pinned items haven’t been deleted. GHL simply hides them when they don’t apply to the workflow you have open. When you return to a compatible workflow, those relevant pins can appear again.
