Client Onboarding Automation in GHL

Start onboarding when a deal is marked won

The best way to set up client onboarding automation in GHL is to start a workflow when a deal is marked Won. You can then add a client tag, send a welcome email, alert your team, and turn re-entry off. Test the workflow before you publish it.

In practice, the trigger is not often the main problem. Most errors happen when too many steps are added at once. It is better to test the first handoff before you add more actions.

Your first steps after a sale matter. They shape how the client feels about your service. A slow or unclear handoff can create doubt at the wrong time.

Manual tasks can also cause missed emails, late forms, and poor team updates. Client onboarding automation helps by starting the same process each time a deal is won.

Why Client Onboarding Automation Matters

When a deal is marked Won, your client should know what happens next. Your team should know too. Client onboarding automation gives you a clear process for each new client. It also helps you avoid delays at the start of the relationship.

Without a set workflow, simple tasks can be missed. A welcome email may go out late. A form may not be sent. A team member may not know the deal has closed. GHL can handle these steps as soon as the deal reaches the Won stage.

This gives you a more reliable handoff without adding more work to your day. Your client gets a clear next step, and your team gets the right update. As your agency grows, this simple process becomes easier to manage than a manual one.

  • Send the welcome email when the deal is marked Won.
  • Add the Client Onboarding tag to the contact.
  • Alert the right team member right away.
  • Give each client the same clear first step.
  • Reduce missed tasks and late follow-up.
  • Keep your onboarding process easy to manage.

Quick Tips for a Better Client Handoff

Keep your welcome email short and clear. Tell the client what happens next, then give them one main action to take. Too many links can make the first step harder to follow.

Use the Client Onboarding tag to track each new client. It can also help you build reports or start other client onboarding automation later.

Send the team alert to the right person. Add the client’s name, the service they bought, and the next task. This gives your team the details they need right away.

  • Test every form and calendar link before you publish the workflow.
  • Use one clear call to action in the welcome email.
  • Keep the team alert short and useful.
  • Check the pipeline and Won status before you publish.
  • Turn re-entry off to stop repeat onboarding.
  • Test the full process with a sample deal.

A simple handoff is often easier to manage. Start with the key steps, test the workflow, and add more actions only when they have a clear purpose.
