Calendar Guest Management: What’s New in GHL

Calendar Guest Management Gets Better

Calendar Guest Management in GoHighLevel just became more flexible. Until now, businesses collecting guest details through a calendar were limited to a guest’s name and email. That worked, but it didn’t always give you the contact information your team actually needed.

With this update, Calendar Guest Management gives you more control over what you collect during the booking process. You can request a name and email, name and phone number, or all three. There’s also a Guest Count Only option when you simply need to know how many people are attending without creating individual guest contacts.

GHL has also improved what happens behind the scenes. When guest details are collected, GoHighLevel can create or match a contact using the guest’s email and/or phone number. New guest contacts also inherit the primary contact’s timezone rather than automatically using the business timezone.

For agencies, this means you can tailor guest collection to the way each client actually works. You can gather richer contact information when it matters or keep the booking process simple when it doesn’t.

Calendar Guest Management gives you more control over the guest details you collect while creating richer, more useful contact records. You can capture phone numbers, choose only the fields you need, or simply collect a guest count when individual contacts aren’t necessary.

The latest GoHighLevel Changelog includes several other GHL feature updates that round out your daily workflow:

What’s New With Calendar Guest Management

The biggest change to Calendar Guest Management is the freedom to choose exactly what information you collect from each guest. Previously, GHL limited guest details to Name & Email. Now, you have four options depending on how much information your business needs.

You can collect Name & Email, Name & Phone, or Name, Email & Phone. For bookings where individual guest information isn’t important, you can select Guest Count Only. This lets you capture the number of additional attendees without creating separate guest contacts in your CRM.

When you do collect guest details, GoHighLevel automatically creates or matches a contact for each guest using their email address and/or phone number. That makes the new phone field more than just another box on the booking form. It can help you build more complete guest records inside the CRM.

GHL has also handled the rollout carefully. Existing calendars that already collect guest details will stay set to Name & Email, so your current booking experience won’t suddenly change. New calendars, however, default to Name, Email & Phone to help you collect richer guest data from the start.

Calendar Guest Management also improves timezone accuracy. Newly created guest contacts now inherit the primary contact’s timezone instead of the business timezone. If the guest already exists in your CRM, GHL keeps their existing timezone unchanged.

Why Calendar Guest Management Matters

Better Calendar Guest Management isn’t about collecting more information just for the sake of it. It’s about collecting the right information for each type of appointment. A sales consultation may benefit from having a guest’s phone number, while a group event may only need an accurate headcount.

This gives you a bit more freedom when setting up your GHL calendars. Collect contact details when there’s a reason to follow up with each guest, or use Guest Count Only when knowing how many people are coming is enough. That way, you’re not creating CRM records just for the sake of it.

Phone numbers make this update much more useful for businesses that prefer calling or texting their customers. When email isn’t the best way to reach someone, you can now grab a number during the booking and have another way to follow up.

Calendar Guest Management can also help agencies build cleaner setups for different clients. A consultant, service business, event organizer, or appointment-based team won’t always need the same guest details. Now you can configure the calendar around the client’s actual process instead of using the same guest fields everywhere.

Add the improved timezone handling, and guest records become more accurate too. It’s a small change behind the scenes, but it can make guest contact data more consistent across attendees.

How to Set Up Calendar Guest Management in GHL

Setting up Calendar Guest Management gives you more control over what information you collect when someone adds guests to a booking. You can ask for an email address, phone number, both, or simply collect the number of people attending.

There is one important difference between existing and new calendars. Existing calendars that already collect guest details will remain set to Name & Email. New calendars default to Name, Email & Phone. So, if you have calendars already running, it’s worth checking their guest settings rather than assuming they’ve changed automatically.

  • Open Your Calendar in Go High Level.
  • Find Your Calendar Guest Settings.
  • Choose What Guest Information to Collect.
  • Save Your Calendar Guest Settings.

To start, make sure you are logged in to the GoHighLevel sub-account that contains the calendar you want to update.

Step 01 – Open Your Calendar in Go High Level

  • Start by opening the calendar you want to update.

1.1 Go to the calendar area in your GHL sub-account settings.

  • Open the section where you manage the calendars for that location.

1.2 Click the meetings in menu

  • This opens the Meetings section where you can access and manage the settings for your meeting calendars.

1.3 Find the calendar you want to change.

  • Choose the calendar where guests can be added during the booking process.

1.4 Open the settings for that calendar.

  • This is where you can review and adjust how the calendar handles guest information.

Step 02 – Find Your Calendar Guest Settings

  • Next, find the setting that controls what information is collected from additional guests.

2.1 Click form & confirmation in settings for calendar.

  • Review what the calendar currently asks guests to provide.

2.2 Check the current guest collection option.

  • If this is an existing calendar that was already collecting guest details, it should remain set to Name & Email unless you change it.

Step 03 – Choose What Guest Information to Collect

  • Now you can decide how much information you actually need from each guest.

3.1 Select your preferred guest information option.

  • GHL now gives you four choices for collecting guest information.

You can choose:

  • Name & Email
  • Name & Phone
  • Name, Email & Phone
  • Guest Count Only

If you normally follow up by email, Name & Email may be enough. If calls or text messages are more useful, Name & Phone may make more sense. Choose Name, Email & Phone when you want a more complete guest contact record.

If you only need to know how many people are coming, choose Guest Count Only. GHL will capture the number of guests without creating an individual contact for each person.

Step 04 – Save Your Calendar Guest Settings

  • Once you’ve chosen the information you want to collect, save the calendar changes.

4.1 Review your selected guest option.

  • Double-check that you’re asking for the details the business actually needs.

4.2 Save your changes.

  • This applies the updated Calendar Guest Management setup to the calendar.

Remember, existing calendars aren’t automatically moved from Name & Email to Name, Email & Phone. New calendars, however, use Name, Email & Phone as the default.

If the guest already exists in your CRM, GHL keeps that contact’s existing timezone instead of replacing it. Once the guest fields, contact handling, and booking experience look right, your Calendar Guest Management setup is ready to use with real bookings.

Quick Tips for Calendar Guest Management

Good Calendar Guest Management starts with one simple rule: only ask guests for information you’ll actually use. More fields can give you richer CRM records, but that doesn’t mean every calendar needs a guest’s email and phone number.

For sales calls, consultations, or appointments where follow-up matters, Name, Email & Phone may be the best choice. It gives your team more ways to identify and contact each guest after they’ve been added or matched in GHL.

If your business mainly communicates by phone, Name & Phone can keep the booking process lean. On the other hand, Name & Email may still make more sense when email is your main communication channel.

Don’t overlook Guest Count Only. It’s a useful Calendar Guest Management option when the headcount matters more than knowing every attendee. You’ll know how many guests are coming without filling your GoHighLevel CRM with individual guest contacts you don’t need.

Also, review your existing calendars instead of assuming GHL changed them automatically. Calendars already collecting guest details remain on Name & Email. New calendars default to Name, Email & Phone.

Finally, test any changes before sending traffic to the calendar. Make a sample booking, add a guest, and confirm you’re collecting the information you expect. A two-minute test can save you from discovering a setup problem after real bookings start coming in.

What Calendar Guest Management Means for Your CRM

Calendar Guest Management doesn’t stop when someone completes the booking form. When you collect individual guest details, GHL can use that information to create or match contacts inside your CRM.

GHL uses the guest’s email, phone number, or both when handling their contact record. So if that person is already sitting in your CRM with the same details, the system has information it can use to match them instead of simply starting from scratch.

The timezone update makes those guest records more accurate too. When GHL creates a new guest contact during a booking, that guest now inherits the primary contact’s timezone instead of automatically using the business timezone. This helps keep timezone information consistent between people attending the same appointment.

Existing contacts are handled differently. If a guest already exists in your CRM, GoHighLevel keeps that contact’s current timezone instead of overwriting it during the booking. That means Calendar Guest Management can improve new guest records without replacing timezone information you already have.

There’s also an important exception. If you select Guest Count Only, you’re simply collecting the number of guests attending. Individual guest details aren’t collected, so separate guest contacts aren’t created.

For agencies, this gives you more control over how calendar bookings feed into the CRM. You can build richer guest records when they have real value or keep things lean when all your client needs is an accurate headcount.

Results From Better Calendar Guest Management

Better Calendar Guest Management gives you more control over the quality of information coming through your GHL calendars. Instead of using the same guest fields for every appointment, you can match the information you collect to the purpose of the booking.

For calendars where follow-up matters, adding phone numbers can create richer guest contact records. Your team may have an email address, phone number, or both available in the CRM, depending on the Calendar Guest Management option you select.

There are bookings where knowing who every guest is simply doesn’t matter. If the headcount is the important part, Guest Count Only records how many people are coming and leaves your CRM out of it.

The timezone change should also produce more consistent guest data. New guest contacts created during booking inherit the primary contact’s timezone, while existing contacts keep the timezone already stored in GHL.

The biggest result is flexibility. You’re no longer locked into collecting Name & Email from every guest. You can decide what each calendar actually needs and build the booking experience around that.

For agencies managing different client accounts, that makes Calendar Guest Management easier to tailor. One client may need detailed guest contacts for follow-up, while another may only need a headcount. GHL now gives you the flexibility to handle both.

Calendar Guest Management FAQs

Better Calendar Guest Management in GHL

Calendar Guest Management is a practical GHL update that gives you more control without making calendar setup more complicated. Instead of being limited to Name & Email, you can now decide which guest details make sense for each booking.

Some bookings need proper follow-up, so having both an email and phone number can be useful. But if you’re only trying to get an accurate headcount, Guest Count Only gives you the number without adding people to your CRM for no real reason.

GoHighLevel has also improved what happens behind the scenes. New guest contacts can inherit the primary contact’s timezone, while existing contacts keep the timezone already stored in your CRM. That helps keep attendee data more consistent without overwriting existing information.

If you look after GHL calendars for clients, give the guest settings a quick check. Older calendars that already collect guest information will still ask for Name & Email. New calendars start with Name, Email & Phone. Set each one up around how the client takes bookings, then make a test booking before you put it in front of customers.

It’s a small update, but better Calendar Guest Management can mean cleaner data, more useful guest records, and a booking experience that fits the way each business actually works.
