Welcome students with an automated course email
Course onboarding automation in GHL helps you welcome students as soon as they start your course. You can use the Product Started trigger, wait five minutes, then send a helpful welcome email. This simple setup gives each student clear next steps without making you send every message by hand.
When you build this workflow, the five-minute wait may look like a small detail. In practice, it plays an important role. You give GHL time to process the course start before the welcome email reaches the student. You also avoid hitting them with another message the second they join.
That first contact is worth getting right. MIT and Harvard research found that, on average, 50 percent of MOOC participants left within one or two weeks of enrolling. The study looked at activity across 17 online courses, so it gives you a useful reminder that early student engagement matters.

With this guide, you’ll build your course onboarding automation step by step. You’ll set the right course trigger, add the five-minute wait, write your welcome email, and publish the workflow. By the end, you’ll have a simple GHL process that gives new students clear direction and saves you from sending the same welcome email by hand.

- Write and add your student welcome email.
- Check the settings, test, and publish the workflow.
Automatically Welcome New Students
When a student starts your course, you want them to know what happens next. You should not have to watch for each new student or send the same email by hand. With course onboarding automation in GHL, you can trigger that first welcome as soon as a student starts the course you choose.
The workflow is simple:
- Start with Product Started. This trigger runs when a contact starts your selected course.
- Choose the right product. Use the Product filter and Is Any Of to select the course you want.
- Wait five minutes. This gives GHL a little time to process the course start before moving on.
- Send the welcome email. Give your student a warm welcome, clear next steps, and useful tips for getting started.
That five-minute wait may seem like a small detail, but it helps you avoid sending the email the instant a student starts. From there, keep your message short and useful. Tell students what to expect and what they should do first. Your course onboarding automation then takes care of the repeat work, while each student gets the same clear welcome.
Replace Manual Student Welcome Emails
Sending welcome emails by hand may work when only a few students join your course. But as more students come in, it becomes one more task you have to track. You need to notice each new course start, send the email, and make sure nobody gets missed. Course onboarding automation takes care of that repeat work for you.
Once your GHL workflow is active, each student can follow the same welcome process:
- You do not need to keep checking for new course starts.
- Each student receives the welcome email after the five-minute wait.
- You can give students clear instructions on what to do first.
- Every student can receive the same useful course tips and guidance.
- You can update the welcome email whenever your course or advice changes.
You still decide what your students receive and how you speak to them. GHL simply sends the message when the right course is started. That is where this setup earns its keep. You write the welcome email once, improve it when needed, and let the workflow handle delivery. Your students get a clear and consistent start, while you have one less manual task to remember.
Why Course Onboarding Automation Matters
When a student starts your course, they should not have to guess what to do next. They have already taken the first step. Now you need to give them a clear path forward. Course onboarding automation helps you do that without adding another manual task to your day.
A well-timed welcome email can help you:
- Confirm that the student is in the right course.
- Tell them what they should do first.
- Set clear expectations before they start the lessons.
- Share useful tips that can help them keep learning.
- Remind them where to get help if they get stuck.
- Give each new student the same clear starting point.
The key is not sending more email. It is sending the right email when your student needs it. Your GHL workflow handles the timing, while you stay in control of the message and advice. With course onboarding automation, you can give each new student a clear start without having to remember another follow-up task.

Your welcome email should:

- Tell them what they will learn.
- Give them a simple plan to follow.
- Ask them to take notes as they learn.
- Remind them to finish each task.
- Tell them where to get help.
- Ask them to keep track of their progress.

Make Student Onboarding More Consistent

Your GHL workflow can help you:
- Send the same welcome message to each new student.
- Give each student clear next steps.
- Avoid checking for new course starts by hand.
- Send the email after the five-minute wait.

- Cut down on repeat work for you and your team.
You still decide what goes in the email. You can change the message or tips when your course needs an update. GHL takes care of sending it at the right point in the workflow. This gives each student a clear start while your course onboarding automation handles the task in the background.
